The following information is preliminary, and has not been confirmed by the FOSS4G 2009 Organising Committee

Policy

There is a significant amount of work required to put on a successful, large conference like FOSS4G, and in order to keep prices down, much of this work needs to be done by volunteers. A few discounts will be offered to people who take on some of the laborious, less glamorous, or highly effective tasks as an incentive / thankyou.

Unfortunately, we will not be able to give discounts to all the worthy volunteers / supporters / presenters, as this would make the conference price unobtainable for many.

In order to mitigate financial risk, and add an incentive to volunteers, the level of discounts offered will be dependent upon the profit from the conference. I.e. More attendees at the conference means more discounts.

Sponsors

  • Sponsors receive complimentary registrations and discounts to "the Conference" (not Conference + Workshops) as detailed in the Sponsorship & Exhibitor Prospectus
  • Sponsors may add workshops to their complimentary registrations using the Workshops-Only rate
  • Sponsor discounts have been factored into the budget and will be allocated whether the conference makes a profit or not.

Media Sponsors

  • Position Magazine will receive a complementary registration to "the Conference" (not Conference + Workshop) in return for advertising in Position Magazine.
  • Media Sponsor discounts have been factored into the budget and will be allocated whether the conference makes a profit or not.

Exhibitors

  • Paying exhibitors receive a complimentary registration and discounts to "the Conference" (not Conference + Workshops) as detailed in the Sponsorship & Exhibitor Prospectus
  • Exhibitors may add workshops to their complimentary registration using the Workshops-Only rate
  • Exhibitor discounts have been factored into the budget and will be allocated whether the conference makes a profit or not.


Distributing Conference Profit

Should the conference start making a profit spare funds will be allocated in the following priority:

  1. Active Conference Committee invited at cost
  2. Workshop Instructor 1
  3. Active Conference Committee fully subsisted
  4. Workshop Committee
  5. Code Sprint lunch, dinner, etc
  6. Workshop Instructor 2
  7. Extras for conference delegates, e.g. Shirts, upgraded food packages etc.

Workshop Instructors

  • Workshop instructors receive credit for registration for "the Conference" (not Conference + Workshops)
  • If there is more than one instructor, and the conference is profitable, there will be two credits available
  • Workshop instructors may attend a Workshop during the time slot(s) when they are not instructing their Workshop, but only as an observer at the back of the classroom (subject to available space)
  • The credit is for registration, and does not represent a specific dollar amount
  • The credit cannot be divided
  • The credit may be transferred to someone else by notifying the Conference Secretariat

Workshop Committee

  • Workshop committee members receive credit for registration for "the Conference" (not Conference + Workshops)
  • The credit is for registration, and does not represent a specific dollar amount
  • The credit cannot be divided
  • If the member is also part of the Conference Committee, they do not receive a second credit
  • Workshop committee members may add workshops to their complimentary registrations using the Workshops-Only rate


Active Conference Committee

  • Conference committee members who actively help getting the hard work done receive credit for registration for the Conference" (not Conference + Workshops)
  • The credit is for registration, and does not represent a specific dollar amount
  • The credit cannot be divided
  • Conference committee members may add workshops to their complimentary registrations using the Workshops-Only rate

Tutorial Instructors

  • Tutorial instructors receive credit for 50% registration for "the Conference" (not Conference + Workshops)
  • If there is more than one instructor, then there will be two credits available
  • Tutorial instructors are not allowed to attend Workshops as an observer
  • The credit is for 50% registration, and does not represent a specific dollar amount
  • The credit cannot be divided
  • The credit may be transferred to someone else by notifying the Conference Secretariat

Panelists and Lighting Talks

  • There are no discounts for plenary panelists
  • There are no discounts for plenary lightning speakers

Posters

  • There are no discounts for people who are presenting Posters

Presenters

  • There are no discounts for people who are doing Presentations

Volunteers

  • Whether Volunteers will be utilized has not been determined, nor has it been determined if Volunteers would receive any discouts
