Review and approve past minutes

Yearly budget for OSUOSL Hosting contract and sysadmin costs for migration to new data center

  • Waiting on budget values from OSU, 1500-2k/per year once we reduce servers by 2
  • They are moving to another location where they have to pay for the servers, so the old servers will be thrown away
  • $USD 30/per server/per month
  • Other costs (mainly labour costs than hardware): servers need to be shuffled around, especially OSGeo 3 (mail server) will be moved on OSGeo 6
  • Extend Vicky's contract to support - un update will be given later
  • Planning for minimal downtime. Just moving containers across servers 3-4 hours
  • Consider the option: to rent hardware and not buy it. Disadvantage: it is harder to control, but we should consider it. We need to calculate the costs.
  • Considering options for other data centers (eg. Hetzner)
  • Tom reached out to FLOSSK for any possible options
  • Expecting yearly cost of $1,440 (4U x $30/U/mo x 12mo)

OSGeo Code Sprint 2025 updates

  • No change in plan
  • Have event page and registration page is open
  • Discussion on food options for first 2 days - OSGeo covers cost from university canteen (10eu/person/day) - surplus from previous years
  • Have not reached out to sponsors, planning to send email
  • for 3 days, lunch covered by conference
  • OSGeo to sponsor a social event. Codrina to contact the LOC from FOSS4G Valmiera (2020 - due to pandemic, it didn’t happen) to ask for support with organizing it.
  • ACTION: Tom to send email 3rd week of Aug (Done)
